Google Tools for You and your Business - FAQ

These are some of the frequently asked questions from the people I meet regularly who work or planning to work deeply with Google tools. If I have missed any or you have any to add here please comment below this blog. I'll review and add the same as well.

1. If I am an iOS user should I use Google One to back up my phone or iCloud paid plan?

Being the backup of mobile/phone data very integrated with the device OS, I would suggest sticking to the iCloud plan for iOS and Google One for Android devices.

2. How and why to share your documents by converting them into PDF?

Sharing a document with others where it is not intended to edit the document by the recipient, or especially the document is to keep a record of the transaction then the document should be in PDF format. With Google tools e.g. Docs etc. look for the Menu options like File → Download/Export as PDF to get your documents in PDF format. Even you may email the PDF file directly using the Email option in the File menu.




3. How to get an alert with the form data over email when someone fills up a Google Form?

Email notification to the form collaborators/owner for each new response can be set by the option in the response section of the Google Form. And for the responder's email with their response data can be configured from the main settings of the form as follows.

4. How to Undo or Recall an email sent set for 30 sec?

Just after sending an email, you get an option to undo the sent. The time which we get to undo an email sent can be set to 10 to 30 seconds max.

5. How to search things across google tools?

You can go for Google Cloud Search which comes with Google Workspace. You need to subscribe to the right plan, currently (Sep-2021) it is a Business Standard plan at a minimum for this.

6. How to enable chat and meet in the Gmail app?

Enable the option "Google Chat" in Gmail's All Settings page as below.



7. How to make chrome your default browser?

You can do it from your respective Operating Systems (OS) using the direction given in this Google Chrome Help.

8. How to save photos to a Google Drive folder from WhatsApp or phone?

This can be done easily by sharing the file/photo with Google Drive from your mobile device. You can also explore the auto-sync feature of Google Photos if you want to save all the images and videos of the WhatsApp media folder or any other folder of your device to Google Photos.

9. How to handle the Google Form responses data?

From the response tab of Google Form, you can either see the records summary, as well as individual records. Also, you can go to the linked Google Sheet as well. If needed you can link/unlink the Sheet as per your need too.



10. How to make a Google Sheet looking good quickly?

Apply the following basic approaches and formatting options to make a Google Sheet with some data looking professional very quickly.
  • Avoid or clear all the vivid and complex formatting.
  • Avoid or remove merged cells.
  • Freeze the header row(s) of the Sheet.
  • Wrap the text display.
  • Adjust and optimize column and row heights.
  • Use the Alternating colour formatting option.
  • That is all!

11. How to make a Google Slide/presentation looking good quickly?

Apply the following simple three basic approaches and formatting options to make a Google Slide/presentation looking professional very quickly.
  • Have simple slides with optimum content as per the standard practice for presentations.
  • Then use the Theme option to select a suitable theme as per your need.
  • Also, you can use the Explore feature (as shown below) of Google Slide to get suggestions of applicable designs for the selected slide. Apply the design of your choice if you find any suitable one.



12. How to log in to the browser maintaining different profiles in the Google Chrome browser?

It is very easy to either add parallel accounts to your browser's profile or create separate profiles in Google Chrome. Separate profiles will maintain separate sync and login/app data which is like using a separate PC altogether. In both scenarios, it becomes convenient to log in to any account using parallel Google accounts.

To add multiple profiles in Chrome browser - look for the profile icon (probably your google profile image) on the top right corner of the browser and use that to add a new profile.



Now to switch to any of the added profiles, simply use the same menu and click on the desired profile to switch to.

13. How to sync up things in the Google Chrome browser between desktop and phone?

Whenever we add or create one profile in Google Chrome then by default sync option across devices becomes available to us for the corresponding account. We just need to review the sync option and enable/disable the things we want to sync between desktop and phone.
